Registering for training or an event

We collect your personal information in order to register you for our training or event, contact you about the training or event, and for reporting purposes. We may add your email address to our mailing list, from which you can unsubscribe at any point. Your personal information may be used to distribute content following the training or event, to collect feedback, or contact you about future training or events.

We will not disclose your personal information without your consent, except where required to do so by law. You may contact us to book directly, or to request access to your personal information via enquiries@ovic.vic.gov.au. You can also view our Privacy Policy for information on our privacy practices.

Use of Microsoft Teams for training or an event

We collect your personal information via Microsoft Teams (MS Teams) to facilitate the training or event. This may include your name, email, profile photo, image, and voice, as well as any other personal information you choose to share via MS Teams during the meeting or event.

Any personal information we collect via MS Teams is stored in Australia. You may contact us to request access to your personal information via enquiries@ovic.vic.gov.au. You can also view our Privacy Policy for information on our privacy practices.

Events and training that are recorded

We may record and publish certain events and training. Where this occurs, you will be notified via reminder emails and at the start of the training or event. If you join an event or training that is recorded, your display name may be captured in the recording.

Where an event or training is recorded, video and audio will either be disabled, or you will have the option to not enable your video and audio. If you chose to enable your video and audio, your image and voice will be captured in the recording and may be published on our website and Vimeo account.

Collection by Microsoft when using Microsoft Teams

Microsoft may also collect your personal information as a result of using MS Teams. The privacy information on Microsoft’s website details the collection, use, disclosure, and storage information by MS Teams. Microsoft’s privacy statement also offers more information about their broader privacy practices, as well as contact details.

Using the Online Learning Portal

OVIC’s online learning portal is separate to OVIC’s website. It is a Learning Management System (LMS) provided by a third party, eCreators. The LMS is hosted by Amazon Web Services (AWS).

We collect your personal information to create an account for you on the LMS. This includes your name, email and organisation.

We collect information about your use of the LMS such as your completion of an online course. This information is collected for reporting purposes.

Your email address may be used to notify you of new or updated courses on the LMS and to collect your feedback.

We may add your email address to our mailing list, from which you can unsubscribe at any point.

Any personal information we collect on the LMS is stored in an AWS data center in Sydney and cannot be moved from that location without OVIC’s consent. Personal information collected on the LMS can be accessed by eCreators and OVIC.

We will not disclose your personal information to other third parties, except where required to do so by law.
